The Contracts Administrator is responsible for supporting projects across 3BB services including recruitment, workforce services and equipment hire.  You will be accountable for a range of activities including initiating, planning, support, administration, management and close-out of Contracting activities, ensuring governance and accuracy as well as recruitment, onboarding, accounting and payroll support.

  • What you’ll do
    • Uphold and undertake best practise Contracting and Procurement processes, procedures, guidelines, tools in line with 3BB governance.
    • Play a key partnering role with contractors, vendors, suppliers (risk based).
    • Ensure contracts for provision of goods and services are performance based and utilise appropriate mechanisms to manage risk to tolerable levels on both contracting entity sides.
    • Ensure all SOW’s, key market engagement documents and contract types/mechanisms are selected on a basis of minimising 3BB’ Contractual and Commercial risk exposure, and are supported by clear requirements/deliverables and associated risks are mitigated to tolerable levels, including close collaboration with 3BB Corporate Commercial teams as appropriate .
    • Responsible for obtaining all internal contract approvals signatures, including preceding shortlisting, recommendation to award, Contract Authorisation Form preparation etc.
    • Manage the requirements for payroll.
    • Manage the payable and receivables and appropriate cost allocation within the MYOB accounts system.
    • Laisse with the external accountant as required.
    • Facilitate / participate in project kick-off meetings for works under contract (services, goods supply, site works).
    • Assist the Administration officer with Commercial engagement on all complex/high risk Supply and Site works contracts
    • Fulfil Contract Administration support across contracts including assessment of Progress Claims / invoices, management of variations, identify and exercise OEM/ Vendor Expediting strategies (de-risking) for Supply contracts, Commercial/Contract Close-out requirements and engagement in Dispute Resolution as required.
    • Provide general purchasing support to Projects team including vendor pre-qualification, setup/preparation of purchasing requisitions, follow up of POs, Terms and Conditions, and liaising with 3BB accounts team where necessary.
    • Provide Change Management support /contractual interface for any changes, variations under Contract with appropriate supporting documents.
    • Collate the daily timesheets, run sheets and equipment inspection reports and formulate summary reports.
    • Develop documented processes for standard tasks. Utilise business tools for meeting collaboration and providing timely email correspondence.
    • Act as Safety Leader and within site procedures and rules when at site.
    • Manage and assist in the compliance requirements required for personnel and equipment entering site
    • Assist in the onboarding of personnel onto site
  • What you bring

    • Tertiary qualifications in Business Administration/Law and/or Engineering, Construction Management (Contract management focused) would be highly regarded.
    • Demonstrated experience in a similar capacity in a Projects environment/capacity (Sustaining and/or major Projects) across resources and/ or professional services industries.
    • Commercial understanding/capabilities including Contract Management knowledge and practical application, together with exposure to Project Management.
    • An excellent understanding of statutory requirements, company policies and procedures and how these operate during the life cycle of an asset
    • Capability to manage multiple tasks within competing priorities / timeframes and other constraints.
    • Working proficiency in MS Office suite, SharePoint, and MS Teams; and base User knowledge of EERO , MYOB or equivalent.
    • Exceptional communication skills including interpersonal, negotiation, influencing, verbal and written; building relationships at all levels that are valued and sustainable.
    • Developed listening skills and ability to ask necessary questions to obtain a perfectly clear understanding of requirements before commencing work.

Responsible for the planning, safe and efficient execution of the operational works of 3BB Contracting. The initial project accountabilities include GYRS and Saraji rehabilitation project. It is recognised that the “Responsibilities “of the role may vary as the work on hand and in the development pipeline varies. Job Title: Operations Supervisor

  • Safe Operation
  • Manage the safety of the project which includes:
    • Compliance with the site SHMS
    • Daily pre starts with the teams
    • Leading the incidents investigations where required
    • Collection and assessment of pre start sheets for all equipment
    • Carrying out and being a part of risk assessments where applicable
    • Ensuring site personnel are compliant with their daily personal risk assessment requirements
    • Daily fatigue and fit for work requirements
  • People management
    • Manage the performance of the people including establishing the operational standards, behavioural standards, skills attainment, training requirements and scheduling.
    • Review and sign off on daily timesheets for personnel.
    • Ensure the people and operations perform in accordance with the site safety requirements including the Site SHMS, 3BB Safety Management standards and relevant mining act and regulations
    • Manage the day to day labour planning and resourcing including the allocation of work, management and approval of leave, labour coverage, overtime.
    • Be involved in the assessment and management of personal entering and leaving the 3BB business.
  • Operations Management
    • Work collaboratively with the client supervisors and representatives and attend meetings as required.
    • Prepare 3BB plan of works for labour and equipment based on BHP requirements and our owns assessment of the most efficient plan and schedule of works.
    • Coordinate the operational equipment requirements and maintenance planning and scheduling of equipment maintenance.
    • Arrange for maintenance as required for breakdown and equipment rectification works.
    • Collate and review the daily pre start sheets and plan/ schedule works accordingly.
    • Communicate to 3BB Operations managers and team as required – requests from BHP site management or 3BB personal that need management signoff.
    • Be a point of contact on site for BHP to
    • Review general information
    • Plan daily, weekly and future operational requirements
    • Prepare in collaboration with 3BB Operations management and share the 3BB weekly planning sheet with BHP

  • Safe and Efficient Operations

    • Manage the resources (labour and equipment) required to mobilise and execute the operations for the various projects 3BB is executing.
    • Manage the overall performance and delivery of the projects.
    • Anage the site reporting to the client and for internal processes required to manage performance, invoicing and payroll, plant and asset management.
    • Maintain a site risk register that is live to the projects risks from a safety as well as a business perspective.
    • Manage the project in accordance with the project tender submission.

  • Human Resources
    • Assist in the recruitment of personnel for each project

    • Execution of the mobilisation and contract execution plans

    • Co-ordination of risk assessment with 3BB Board for jobs where tenders are submitted
    • Sourcing of equipment and resources required to execute successful tenders
    • Recommendation of financing options for equipment that are consistent with risk profile of each project
    • Ensuring adequate maintenance resources are captured in the resourcing plan for each project
  • Operations management
    • Lead and manage the resources required to mobilise and execute the operations for the various projects 3BB is executing.
      Develop reporting and assessment tools to understand potential variance of scope or performance relative to tendered assumptions
    • Monitoring of mitigation plans developed in the risk assessment process for each project
    • Manage the overall performance and delivery of the projects delivery teams.

    • Liase with the client for project related meetings and any other requirements the client has.

DUTIES
The Cultural Heritage Field Officer is responsible and held accountable to:

  • Assist with Pre-Start Checklists and Tool Box meetings.
  • Assist with packing and unpacking of lunches and vehicles.
  • Assist in writing and recording of field notes on a daily basis.
  • Become competent in the use of GPS and map reading skills.
  • Ensure daily communication with Team Leader.
  • Ensure correct PPE at all times.
  • Report any disturbance of Cultural Heritage.
  • Reporting any hazards to the team leader.
  • Ensure maintenance on vehicles is reported.
  • Help with washing and cleaning of vehicles on last day in field
  • Ensure that all work is carried out in a safe and responsible manner keeping in mind workplace health and safety requirements.
  • Abide by the Winnaa Pty Ltd Code of Conduct and policy and procedures.

REPORTING
The Cultural Heritage Field Officer reports to the Team Leader.

ROSTER
The work roster for Winnaa Pty Ltd is currently 7 days on and 4 days off. You will fly from the closest major airport to your home location (Brisbane, Cairns, Townsville, Rockhampton) to Mackay and then travel with the other workers out to our accommodation camp at Nebo. You will fly up the day before you are rostered to start and fly home on the last day of the round (7th Day) and you will need to find your own way to and from the airport.

ACCOMMODATION
Your accommodation will be at Civeo. There are rules at all camps and you are expected to abide by these rules. The accommodation camp at Nebo is a dry camp which means that no alcohol is to be consumed at any time. If you breach this rule or any other code of conduct you will be asked to leave immediately and your employment will be terminated. Any complaint received from another accommodation provider will be deemed as a breach as well. At times you may stay at alternative accommodation sites such as Coppabella, Middlemount, Dysart and Moranbah.

EMPLOYMENT
Once you are selected to be employed by Winnaa Pty Ltd, also note that a drug (urine sample) and alcohol (breathalyser) tests will be conducted prior to the commencement of your employment and also during your employment. The coal board medical (CBM) and then standard 11 training are the minimum requirements to enter a mine site in Queensland. The standard 11 training takes 2 days to complete and the CBM takes one day. We will try and get these done in a location where you reside, so you don’t have to travel to Mackay until you complete these two requirements.

Once employed you will be employed on a 6 month contract basis. Once the directors meet to discuss candidates for these positions we will inform you of the decision. At this stage we are not needing people to start but once we do it will be within 2 weeks of notification depending on when we can book CBM and Standard 11 training.
